
Experienced Secretary for Private Client Department
We are seeking a highly organised and proactive Secretary to join our respected and expanding Private Client team in Milton Keynes. Working closely with our Private Client Solicitors, you will provide essential legal and administrative support across matters involving Wills, Estate Administration, Trusts and Lasting Powers of Attorney (LPAs).
Job Summary
This role offers excellent client contact, exposure to quality legal work, and the opportunity to develop your skills within a supportive and progressive firm.
Key Responsibilities
- Managing incoming and outgoing correspondence, including email and telephone enquiries.
- Opening, maintaining and closing client files in accordance with compliance and regulatory requirements.
- Scheduling appointments, organising meetings and managing diaries for fee-earners.
- Assisting with the electronic and physical filing of documents, ensuring accurate document management.
- Acting as a first point of contact for clients—handling enquiries sensitively, professionally and confidentially.
- Taking detailed telephone messages and providing updates where appropriate.
- Arranging client meetings, witnessing signatures and supporting client onboarding processes.
- Preparing, formatting and amending legal documents including Wills, Trust documentation and Probate forms.
- Supporting Solicitors with drafting and preparing LPAs, registration forms and associated paperwork.
- Helping to draft engagement letters, attendance notes and straightforward legal documents under supervision.
- Managing key dates, limitations, deadlines and reminders accurately.
- Providing typing, audio typing and document production support where needed.
- Liaising with external parties such as banks, asset providers, pension companies, HMCTS and the Office of the Public Guardian.
- Ensuring confidentiality and compliance with GDPR and SRA requirements.
- Contributing positively to a collaborative, client focused team environment.
Candidate Attributes
- Previous experience working in a support role, preferably in a legal environment.
- Strong administrative and organisational skills with excellent attention to detail.
- Confident communicator with a warm, professional manner.
- Ability to multitask effectively and prioritise a busy workload.
- Good working knowledge of Microsoft Office.
- Experience preparing Wills, LPAs or supporting Probate files preferred but not essential.
- Experience with digital dictation systems.
